Overview#

A field technician arrives at a water treatment facility to perform a scheduled valve inspection. The work order on their tablet walks them through each step of the procedure, requires a photo at three checkpoints, prompts for pressure readings at specific points, and will not allow them to mark the task complete until every mandatory field is filled in. If they note an anomaly, the system automatically raises a deficiency record and routes it to the maintenance supervisor before they have even left the site.

That level of procedural rigour does not happen with paper checklists or generic task apps. The Work Order Execution Workflows module provides a purpose-built workflow engine for field operations where accountability and traceability are non-negotiable. It serves utilities, emergency management agencies, local government infrastructure teams, police facilities, fire services, and defence support organisations running field maintenance, inspection, and compliance programmes.

Open Standards#

  • GraphQL (June 2018 specification): all work order and field operations data is queried and mutated through a GraphQL API, enabling typed, self-describing access for supervisor dashboards, mobile clients, and integrations.
  • ISO 8601 / RFC 3339: every timestamp in the execution event log, GPS trail, and status history is serialised in ISO 8601 extended format, ensuring unambiguous ordering and interoperability with external systems.
  • SHA-256 (FIPS 180-4): execution event records are chained with SHA-256 hashes linking each event to its predecessor, providing a tamper-resistant audit trail for regulatory and legal accountability.
  • NENA-STA-010.3 (Emergency Incident Data Object): emergency-originated work orders are ingested from NENA EIDO-compliant Computer-Aided Dispatch systems, carrying standardised incident context directly into the field workflow.
  • WGS 84 (EPSG:4326): operator GPS trails, proximity-based assignment queries, and work order location coordinates are all expressed in WGS 84 decimal degrees, compatible with mapping and routing providers.
  • ISO 55000 (Asset Management): preventive, corrective, and inspection work order types align with the ISO 55000 asset lifecycle framework, supporting evidence capture and reporting required by asset management compliance programmes.
  • HMAC-SHA-256 (RFC 2104): inbound webhooks from connected asset management platforms are authenticated with an HMAC-SHA-256 signature over the request body, preventing replay and spoofing attacks.
  • OAuth 2.0 / JSON Web Token (RFC 6749 / RFC 7519): field worker and supervisor identity is derived exclusively from bearer JWT claims for every work order mutation, ensuring all audit records carry verifiable, unforgeable actor attribution.

Key Features#

  • Structured Workflow Engine: define multi-step work order templates with sequential and parallel task execution, conditional branching based on field observations, and mandatory completion gates that prevent progression without required data
  • Field Data Capture: operators capture structured data at each workflow step including text entries, numeric measurements, photo documentation, barcode scans, GPS coordinates, and digital signatures
  • Real-Time Progress Tracking: supervisors monitor execution in real time with step-by-step progress indicators, time-on-task metrics, and geographic tracking of field personnel
  • Security Hardening: tamper-resistant execution records with cryptographic checksums, timestamp verification, and operator authentication at each step to prevent unauthorised modifications or backdating
  • PSAP Integration: work orders generated from emergency dispatch events carry full incident context, giving field responders access to caller information, location details, and prior incident history
  • Offline Execution: complete work orders in areas without network connectivity with local data storage and automatic synchronisation when connectivity is restored, with conflict resolution for concurrent updates
  • Assignment and Routing: intelligent work order assignment based on operator location, qualifications, current workload, and shift schedule with manual override capability for supervisors
  • Completion Verification: supervisor review workflows with approval, rejection, and revision request capability ensure work quality before work orders are closed and archived

Use Cases#

  • Infrastructure Inspection: schedule and execute routine inspections of facilities, equipment, and infrastructure with standardised checklists, photo documentation requirements, and deficiency tracking through to remediation
  • Emergency Response: convert dispatch events into structured field work orders that guide responders through standard operating procedures while capturing all required documentation for after-action reporting
  • Maintenance Operations: manage preventive and corrective maintenance work orders with parts tracking, labour recording, equipment history, and integration with predictive maintenance alerts
  • Compliance Auditing: execute field compliance checks against regulatory requirements with evidence capture, finding documentation, and automatic routing of violations to the compliance management system

Integration#

The module integrates with the PSAP dispatch system for emergency-originated work orders, the geospatial platform for operator location tracking and route optimisation, the camera telemetry system for equipment-linked maintenance tasks, and the incident management hub for automated escalation of critical findings. Completed work orders feed into analytics dashboards for operational performance reporting.

Availability#

  • Enterprise Plan: full work order execution suite included
  • Professional Plan: basic work order management included; advanced workflow engine and offline execution available as add-on
